Accounts Payable Clerk

Continuing full-time position commencing ASAP

DUTIES AND RESPONSIBILITIES

Holland College is seeking a detail-oriented and organized Accounts Payable Clerk to join our Finance Department. Key responsibilities include the following:

  • Process supplier invoices and ensure timely and accurate payments using Oracle Financial's.
  • Verify, match, and reconcile invoices with purchase orders and follow up on discrepancies.
  • Maintain and update vendor records, including banking details for EFT (Electronic Funds Transfer) payments.
  • Distribute invoices to departments for approval and proper coding.
  • Investigate and resolve outstanding credits, invoice discrepancies, and NSF (Non-Sufficient Funds) account amounts.
  • Review vendor statements, follow up on missing invoices, and ensure all records are up to date.
  • Prepare and process payments on a weekly or as-needed basis.
  • Maintain the accounts payable filing system and ensure accurate documentation.
  • Provide support for financial audits by preparing necessary documentation.
  • Assist in monitoring HST (Harmonized Sales Tax) coding and compliance with tax regulations.
  • Offer support to other Finance staff during high-volume periods.
  • Respond to inquiries from vendors and college staff regarding payments and invoices.
  • Other duties as required.

QUALIFICATIONS

  • Post-secondary diploma or certificate in accounting or business, with one year of recent related experience in a fast-paced financial environment. An equivalent combination of education and recent related experience may be considered.
  • Knowledge of HST regulations and their application to invoices and expense claims.
  • Proficiency in Microsoft Office, including strong experience with Excel.
  • Demonstrated ability to provide excellent customer service skills.
  • Strong organizational skills and document management skills to ensure accurate financial record-keeping.
  • Ability to adapt to changing priorities and successfully meet deadlines.
  • Experience with Oracle Financial's and knowledge of Holland College policies and procedures related to purchasing and accounts payable are assets.

Salary:

$24.28 - $29.12 per hour (37.5 hrs/wk)
