Executive Assistant - Academic and Applied Research

Continuing full-time position commencing ASAP

DUTIES AND RESPONSIBILITIES

We are seeking a highly motivated and professional Executive Assistant to provide confidential, high-level administrative support to the Vice President of Academic and Applied Research and the Executive Director of Programs.  Duties will include:

  • Provide high-level administrative support to the VP and Executive Director, including calendar management, meeting coordination, and correspondence handling.
  • Prepare, proofread, and format confidential reports, briefing notes, presentations, and internal communications.
  • Coordinate and organize meetings, events, and committees, including preparing agendas, recording minutes, and tracking action items.
  • Act as a liaison between senior leadership and internal/external stakeholders, ensuring effective and timely communication.
  • Assist in the preparation and tracking of budgets, expense reports, and procurement activities.
  • Maintain and organize electronic and paper filing systems, ensuring easy retrieval and confidentiality of sensitive information.
  • Monitor timelines and follow up on key initiatives, projects, and deliverables to ensure deadlines are met.
  • Support the development and implementation of academic and operational initiatives across various programs.
  • Conduct research and gather information to support decision-making and policy development.
  • Manage special projects and other duties as assigned in a fast-paced, evolving environment.

QUALIFICATIONS

  • Post-secondary diploma in office administration, business administration, or a related field; an equivalent combination of education and experience may be considered.
  • Minimum of 3–5 years of recent related administrative or office management experience.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities.
  • Strong written and verbal communication skills, including the ability to draft professional correspondence and reports with accuracy and attention to detail.
  • Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort working with online collaboration tools (e.g., MS Teams, SharePoint, Zoom).
  • Proven interpersonal skills with the ability to build positive working relationships with internal and external stakeholders.
  • Strong critical thinking and problem-solving abilities, with a proactive and resourceful approach to supporting leadership.
  • Experience preparing meeting agendas, recording minutes, and tracking follow-ups across multiple projects or committees.
