Job Description

Duties will include but are not limited to:

  • Provide reception duties for service.
  • Act as a liaison and provide information about programs and services, utilizing tact and empathy to clients, community resources, volunteers, physicians, general public and staff.
  • Assess urgency of walk-in clients/telephone calls and direct appropriately.
  • Transcribe and prepare reports, history and physicals, consultations, correspondence, insurance reports, assessments, etc. from dictation and/or written notes provided, for staff, physicians, psychiatrists, manager, etc.
  • Prepare and process accurate records, monitoring leave forms and other payroll information, for timely submission in PeopleSoft Payroll System.
  • Run PeopleSoft Payroll reports as required.
  • Be knowledgeable of the collective agreements.
  • Create and maintain up-to-date, a variety of Excel spreadsheets for data collection and various program operations.
  • Compile and calculate statistical reports for the different programs of the service by running reports in EMR, entering data in spreadsheets, i.e. Excel, Access, etc.
  • Input client demographic information, service plan tracking, and scanning medical documentation into EMR client file.
  • Provide ongoing ISM EMR guidance and support to staff when required.
  • Maintain the administrative filing and records management system as per provincial policy.
  • Maintain client filing system by ensuring the orderly creation, receipt, retrieval and transfer of client files according to provincial protocol.
  • Create new forms, tables, and documents when required, Prepare PowerPoint presentations. Attend meetings, record, type and distribute minutes when required.
  • Type letters, memos, reports, case plans, etc.
  • Maintain staff electronic calendars in Outlook and EMR.
  • Make ongoing telephone calls to schedule, re-schedule, and cancel appointments.
  • Maintain adequate office/medical supplies and utilization of Oracle.
  • Prepare binders, folders, information, etc. for group sessions.
  • Receive, screen, prioritize and prepare incoming and outgoing mail.
  • Other duties as required.

Qualifications

Minimum Qualifications:

  • Successful completion of Grade 12 and successful completion of a recognized Medical Support Services Program, Secretarial or Office Studies Program with a specialized course in Medical Terminology and Transcription.
  • Demonstrated ability to work with a demanding and high volume workload using effective organizational and time management skills, accuracy to detail and problem solve.
  • Demonstrated ability to maintain confidentiality, flexibility, reliability and being a team member.
  • Considerable experience in a medical clinic setting and have excellent interpersonal communication skills to deal with stressful situations including agitated or ill clients in high risk situations.
  • Proficiency in the use of word processor and medical transcription.
  • Typing speed of 50 wpm, net of errors.
  • Proficiency in the use of word processing software, spreadsheet programs, presentation software, medical dictation, electronic mail and internet.
  • Computer training and experience in a variety of software programs is required (i.e. word processing, spreadsheets, financial information systems and payroll system, data entry and presentations)
  • A good previous work and attendance record.
  • Access to reliable transportation.

Other Qualifications:

  • Experience with computerized data base, EMR would be an asset.
  • Knowledge of Community Mental Health and Addictions programs and services would be an asset.
  • Additional relevant education and experience would be considered an asset.

Salary Range: $26.94 - $29.29 per hour (IUOE)

Bi-Weekly Hours: 75 Hours Bi-Weekly / Monday – Friday / Evenings and Weekends as Required
