DUTIES AND RESPONSIBILITIES

The office of Recruitment & First Year Advising is seeking a highly organized, customer service-oriented individual for the position of Administrative Support.

Responsibilities include the following:

  • Create, submit, and track purchase requisitions, travel claims, service requests, invoices, mailouts and other College forms.
  • Assist in monitoring the department's budget and tracking of funds.
  • Organize and maintain data and records for the department, ensuring accuracy and accessibility.
  • Order and manage materials and supplies for the department.
  • Book and manage appointments for students to meet with advisors, ensuring organized scheduling and clear communication.
  • Provide current materials to school guidance counselors, Career Development Services locations, and other external organizations as requested.
  • Organize, schedule and conduct campus tours for groups, communities, schools, or individuals, coordinating with Student Services and Learning Managers as needed.
  • Assist in organizing special events such as Orientation, Open House, Graduations, etc., including  compiling/ordering materials, setup/teardown and collaborating with other departments.
  • Act as a central resource for students, staff, and the public. Providing assistance through telephone, mail, email, and in-person interactions. 
  • Perform other duties as may be required.

QUALIFICATIONS

  • Post-secondary diploma with a minimum of one-year recent related administrative experience. An equivalent combination of education and experience may be considered.
  • Excellent oral, written, and interpersonal skills. 
  • Proficient computer skills using a variety of software applications including Microsoft Word, Excel, Outlook.
  • Proven ability to work independently and as part of a team.
  • Exceptional organizational skills.
  • Demonstrated ability to maintain confidential and sensitive information.
  • Must be able to multi-task and work well under pressure to meet deadlines.
  • Knowledge of Holland College programs, services and entrance requirements would be considered an asset.

$23.03 to $24.45/hr
