Create, maintain, and securely manage confidential student files, ensuring all required quality forms and critical documentation are complete, accurate, and properly organized.
Create, upload, and maintain electronic records of students’ Individualized Accommodation Plans (IAPs) within the file management software system.
Schedule meetings and appointments for the Coordinator of Academic Support with students, faculty, parents, high schools, and external agencies.
Schedule student appointments for Academic Support Workers and Counsellors as required.
Provide reception services for the department, including greeting visitors, responding to inquiries in person, by phone, and by email, and providing information related to student support services.
Triage inquiries and respond appropriately to students and staff, including those who may be distressed or experiencing heightened stress, by assessing needs and directing them to appropriate supports.
Coordinate testing accommodations for students, including scheduling test sessions, assigning Academic Support Workers, and ensuring appropriate accommodations (e.g., scribe services, assistive technology, physical adaptations) are in place.
Liaise with instructors to ensure testing documentation is properly prepared, securely handled, collected, and returned to learning managers.
Coordinate projects benefiting students by organizing project logistics, maintaining documentation, tracking milestones, and supporting communication among Academic Support Services staff and stakeholders.
Post-secondary education in Office Administration or a related field, or an equivalent combination of education and experience.
Demonstrated experience providing administrative support in a confidential environment.
Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.
Excellent interpersonal and communication skills, with the ability to interact professionally and compassionately with students, staff, and external partners.
Experience working in a post-secondary or student services environment is considered an asset.
Proficiency with office software, shared drives, and electronic record management systems.
