Job Description:

• Answer and direct phone calls, maintain phone system
• Organize and schedule appointments and meetings
• Write and distribute email, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled executive reports
• Book travel arrangements and itinerary preparation
• Maintain executive calendar schedule
• Assist in developing of marketing materials
• Assist in website and social media updates
• Maintain contact lists
• Back up to Document Control position
• Ordering office supplies

Qualifications:

• University degree/Admin Assistant college course with proven experience as an administrative assistant or office admin assistant
• Knowledge of office management systems and procedures, extensive software skills, Internet research abilities
• Working knowledge of office equipment, like printers and computers
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Working knowledge of graphic design programs
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
